> Why Excel sheets fall apart when saved as PDF on a Mac, the page settings that keep your layout, and a quick browser option for plain data tables.

You finished a big spreadsheet on your MacBook, exported it to PDF, and the columns spilled onto extra pages or shrank to unreadable text. Don't retype it: set the print area, orientation and scaling in Excel's **Page Layout** tab, then save as PDF from Excel itself, because the app that made the sheet is the one that keeps its colors, fonts and column widths.

## Why the layout breaks

A PDF is a set of fixed pages, and a spreadsheet isn't. When you export, Excel has to cut your sheet into paper-sized pieces. If nothing tells it how, it uses the default paper size, portrait orientation and 100% scale, so wide sheets get split across pages and anything outside the used range can sneak in.

## Save as PDF from Excel on a Mac

1. Select the cells you want, then go to **Page Layout → Print Area → Set Print Area**.
2. In the same tab, set **Orientation** to Landscape if the sheet is wide, and pick your paper size.
3. Under scaling, set the width to **1 page** and leave the height on automatic, so columns stay together and rows flow onto as many pages as they need.
4. Choose **File → Print**, check the preview, then use the PDF option in the print dialog to save it as a PDF.

The print preview is the PDF you will get. If it looks wrong there, adjust the page setup before saving. **View → Page Break Preview** shows exactly where each page ends, and you can drag the blue lines to move the breaks.

If you don't have Excel, **Numbers** on your Mac opens `.xlsx` files. Choose **File → Export To → PDF** there. Check the result, since it may not look identical.

## Quick option: turn the data into a clean PDF table

[Open Excel to PDF](https://filevale.com/excel-to-pdf/)

Sometimes you don't need the exact look, just the numbers in a readable PDF to send or print. Filevale's [Excel to PDF](/excel-to-pdf/) turns every sheet of an `.xlsx` workbook into a gridded table, in landscape when the sheet is wide.

1. Open Excel to PDF and drop your XLSX file on the page, or click to browse. You can add several at once.
2. Click **Convert**. Everything happens on your device.
3. Download the PDF.

Be clear about the trade-off: this tool exports **values only**. Formulas appear as their results, charts are not included, and your own colors and styling are replaced by a plain grid. If the formatting itself is the point, use Excel's own export above. The file is processed in your browser and not uploaded. For old Excel 97–2003 files, [XLS to PDF](/xls-to-pdf/) does the same for `.xls` workbooks.

## If this is your problem

- **Columns cut off onto a second page:** set the width to 1 page under scaling, and switch to Landscape.
- **Text is tiny after fitting to one page:** the sheet is too wide for the paper. Fit only the width, not the height, or hide columns you don't need before exporting.
- **Blank or extra pages:** set a print area so Excel ignores stray cells far from your data.
- **Only one sheet ended up in the PDF:** in the print dialog, choose to print the entire workbook instead of the active sheet.
- **Too much white margin:** trim it afterwards with [Crop PDF](/crop-pdf/), which hides the margins with a crop box and keeps the original content in the file.
- **Too many pages to print:** [N-up PDF](/nup-pdf/) puts 2 or 4 pages on each sheet of paper.

If one PDF per sheet is the result and you need a single file, [Merge PDF](/merge-pdf/) combines them; see [how to merge PDF files on Mac](/guides/how-to-merge-pdf-on-mac/).

## Frequently asked questions

### Why does my Excel PDF look different on Mac than on Windows?

The PDF follows each computer's page setup, paper size and installed fonts. Setting the print area, orientation and scaling in the workbook itself makes the export consistent wherever you save it, because those settings travel with the file.

### Will Filevale's Excel to PDF keep my colors and charts?

No. It turns every sheet into a gridded table of values, so formulas show as their results and charts are left out. Use it when you need readable data, and use Excel's Save as PDF when the design matters.

### Can I convert an Excel file to PDF on Mac without Excel?

Yes. Numbers opens `.xlsx` files and exports them with **File → Export To → PDF**. For a plain table of the values, [Excel to PDF](/excel-to-pdf/) works in any modern browser on your Mac with nothing to install. More options are on the [PDF tools](/pdf-tools/) page.
